Privacy Policy

Last updated: 12 October 2026

This policy explains what personal information Extra Web Solutions collects, why we collect it, how long we keep it and the rights you have over it. We’ve tried to keep it in plain English. If anything is unclear, email us and we’ll explain.

Who we are

Extra Web Solutions is the trading name of Aury Silva, a sole trader based in Hull. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), Aury Silva trading as Extra Web Solutions is the controller of the personal information described in this policy.

We are a small business, so you’ll always be dealing directly with the person responsible for your data.

The short version

The information we collect and why

When you contact us

If you use the form on our Get In Touch page, we collect your name, email address, phone number (optional), the subject you choose and your message. The form sends your enquiry to our business email inbox and keeps a copy in our website’s database so that enquiries aren’t lost if an email goes astray. If you email or phone us instead, we keep a record of the conversation.

We use this information to reply to you, to discuss your project and to prepare a quote.

Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who get in touch.

When you sign up to our newsletter

If you enter your email address in the newsletter box in our website footer, we collect that email address so we can send you occasional updates and articles. Every newsletter includes a way to unsubscribe, or you can simply email us.

Lawful basis: your consent, which you can withdraw at any time.

When you become a client

If we work together, we hold the contact details of the people we deal with at your organisation, the project details and correspondence, and the billing and payment information needed to invoice you and keep accounts.

Lawful basis: performing our contract with you, and complying with our legal obligations (for example, keeping tax records for HMRC).

Some projects involve us building or looking after systems that hold personal data about your customers, staff or users. In that situation you are the controller of that data and we act as your processor: we only use it to carry out the work you’ve asked for, under the terms of our contract with you, and in line with Article 28 of the UK GDPR.

When you visit our website

Like most websites, our hosting provider automatically records technical information when you visit, such as your IP address, browser type, the pages requested and the time of the request. These server logs are used to keep the website secure, to diagnose problems and to protect it from abuse.

We also use Google Analytics to collect statistics about how visitors use the site: for example, which pages are visited, how long people stay, roughly where in the world visits come from, and what type of device and browser is used. We use this only to understand how the website is used so that we can improve it. We don’t use it for advertising and we don’t use it to identify you. Logged-in website administrators are excluded from these statistics.

Lawful basis: our legitimate interests in running a secure website and improving it. See Cookies for how to object to analytics.

Suppliers and business contacts

If you work for one of our suppliers or partners, or we meet you through networking, we may hold your name, job title and business contact details so that we can work with you.

Lawful basis: our legitimate interest in running our business.

We don’t knowingly collect any special category information (such as health information) and we never make decisions about you based solely on automated processing.

Cookies

Cookies are small text files stored by your browser. This website uses only a small number:

The map on our Get In Touch page is embedded from Google Maps. When that page loads, Google may set its own cookies and receive your IP address, as described in Google’s privacy policy.

The analytics cookies are used only to collect statistics about how this website is used so we can improve it, which UK law allows without prior consent as long as we tell you about it and give you a simple, free way to object. You can object at any time by:

Blocking cookies won’t stop the website working, although it may forget your layout preference.

Who we share your information with

We use a small number of trusted service providers who process information on our behalf, under contracts that require them to keep it secure and only use it as we instruct:

We may also share information with our accountant or other professional advisers, with HMRC or other authorities where the law requires it, or with anyone you ask us to share it with. We will never sell your personal information.

International transfers

Google may process information outside the UK, including in the United States. Google LLC is certified under the UK Extension to the EU-US Data Privacy Framework (the “UK-US data bridge”), and Google also uses the UK’s approved international data transfer safeguards. Where any of our other providers transfer personal data outside the UK, they must use a safeguard recognised under UK law.

How long we keep your information

How we keep it secure

Our website is served over an encrypted (HTTPS) connection. Access to our website administration, hosting and email accounts is restricted to Aury Silva and protected by strong passwords and, where available, two-step verification. We keep our software up to date and take regular backups.

Your rights

Under UK data protection law you have the right to:

Some of these rights only apply in certain circumstances. To use any of them, email hello@extrawebsolutions.co.uk or write to the address above. It’s free, and we’ll reply within one month. If your request is particularly complex, we may need up to two further months, in which case we’ll tell you why. We may need to check your identity before acting on a request.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. Email hello@extrawebsolutions.co.uk with “Data protection complaint” in the subject line. We’ll acknowledge your complaint within 30 days and let you know the outcome without undue delay.

You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO):

Children

Our services are for businesses and our website isn’t aimed at children. We don’t knowingly collect personal information from anyone under 13.

Links to other websites

Our articles and portfolio link to other websites, including our clients’ sites. We’re not responsible for how those websites handle your information, so please read their privacy policies.

Changes to this policy

We’ll update this policy when the way we handle personal information changes. The date at the top shows when it was last updated. If we make significant changes that affect you, we’ll tell you directly where we can.
