Salons, clinics, personal trainers, coaches, tutors, consultants and repair shops all have something in common: their income depends on filling appointment slots. Yet many still take bookings by phone, email or social media message rather than through online booking systems. That means back-and-forth conversations to find a time, missed calls when staff are busy and gaps in the diary that could have been filled.

An online booking system lets customers see real availability and book in a few clicks, whenever suits them. Here is what to consider.

What good online booking systems do

  • Shows live availability based on staff calendars, opening hours and the length of each service.
  • Lets customers choose the service, the staff member, where relevant, and the time.
  • Sends confirmations and reminders by email or text, which noticeably reduces forgotten appointments.
  • Handles cancellations and rescheduling within rules you set, such as no changes within 24 hours.
  • Takes payments or deposits at the time of booking if you want it to.
  • Syncs with your calendar so personal commitments and other bookings block out time automatically.

The benefits beyond convenience

The most obvious benefit is less time on the phone. But online booking also captures customers who want to book in the evening or at weekends when you are closed, and many people simply prefer not to call. Automated reminders cut no-shows, and taking a deposit cuts them further. Over time, the booking data also shows you which services, times and staff are busiest, which helps with pricing and planning.

Questions to ask before choosing

  1. How complicated are your appointments? A single person offering one type of session is simple. Multiple staff, rooms, equipment or services of different lengths need a more capable system.
  2. Do customers book packages or memberships? Blocks of sessions, class passes and subscriptions are handled very differently by different tools.
  3. Where should bookings appear? On your own website, on Google, on social media, or all three?
  4. What else does it need to connect to? Your accounts software, CRM, email marketing or a client portal.
  5. Who owns the customer data? Some platforms market other businesses to your customers or make exporting data difficult.

It is also worth asking how the system handles reminders. Automatic text or email reminders a day before an appointment are one of the simplest ways to reduce no-shows, and most customers appreciate them.

Off-the-shelf or custom?

There are many good subscription booking tools, and for a straightforward diary they are the quickest route. A custom booking system is worth considering when your scheduling rules are unusual, when you want booking, payments, client records and communication in one branded place, or when per-staff subscription costs become significant as you grow.

Making the switch

When you launch online booking, tell existing customers, add a clear “Book now” button to every page of your website and your Google Business Profile, and keep the booking process as short as possible. Ask for only the information you need and test the whole journey on a phone.

After launch, keep an eye on which services and times are booked most, how many customers cancel or reschedule and where people drop out of the booking process. Small changes, such as adding an extra evening slot or shortening the form, can fill more of the diary. A well set-up online booking system keeps improving the more you use its data.
